Data Protection & GDPR

As part of an organisation running social events for the transgender community, Trans Socials collects necessary data from people to answer queries, run events (including selling tickets where appropriate) and request feedback. We only hold information for advertising, marketing and public relations in connection with its core business; this may include past, existing or present customers or suppliers.

As Trans Socials only processes personal data for core business purposes, it is exempt from registration with the Information Commissioner’s Office (ICO).

What type of information we have:

We currently collect and process the following information: name and contact details, details of bookings and invoices/payments.

How we get the information and why we have it:

The personal information we process is provided to us directly by you to facilitate running an event; this information may include:

  • your contact details (such as your address, telephone number and email address);
  • your gender identity;

  1. Your consent. (You are able to remove your consent at any time. You can do this by contacting us using the details above.)
  2. We have a contractual duty.
  3. We have a legitimate interest.

What we do with the information we have:

We use the information that you have given us in order to organise and run an event and to produce invoices and take payment.

We will only share this information (in part or in full) if there is a legal duty to do so or if we have your clear written or electronic consent.

How we store your information:

Personal Information

We store data on a secure server. Unless you give written or electronic consent, we keep your personal data for a maximum period of 18 months. We will then dispose of your information (or the parts for which you have not consented) by erasing it from our servers (including the backup server).

Our ticket management software, TicketTailor, also stores information. Data is gathered and stored in accordance with TicketTailor’s privacy policy. Payments are collected using encrypted technology. Trans Socials does not store or retain card payment details.

Ticket Policy

We organise our own events and events at other venues. In the latter case, we may need to pay third-party deposits or the full price of someone’s attendance at the event. Due to the differing nature of our events and the various charges by our venues, we do not have a single policy for our events. Instead, we have individual policies.

It is, therefore, important that you check the terms and conditions for each event you are purchasing tickets for. There will be different rules concerning deposits, refunds and transferring tickets to others. You will need to confirm your acceptance of the terms and conditions as part of a condition of the sale of tickets.
